Notification of the election of SHReps

Summary - (External)

The mining industry is required to notify the Department when there has been an election of Safety and Health Representatives (SHReps) under the Mines Safety and Inspection Act 1994.

The safety and health rep summary page and the links below show you how to notify the Department on the election of 'new' Safety and Health Representatives (SHReps) for a mine site operation or exploration company.


Security Roles: To notify appointments, external users will require a security role within SRS for the 'Notifications' subsystem (Type: Position), either as company administrator or company representative. Information on security roles and access to SRS refer SRS registrations



Filters

The filter is a useful tool for ease of viewing notifications in the summary window.






Click Filter
Select the positions to be filtered.
Click Close

Note: Reset filters, by ticking All to ensure all positions are reset and notifications are made available on the summary page.

Lodge New

Click New on the summary page to lodge a new notification.

What security roles are required to lodge/ maintain SHRep notifications at a mine site operation (SG) / exploration company?

An SRS security role, either as company administrator or company representative is required under the Notifications subsystem of the type Position to submit a notification for a mine site operation. 
An SRS security role, either as company administrator or company representative is required under the Notifications subsystem of the type Position to submit a notification for an exploration company.

Current users with company administrator security roles to the Notifications sub system will be able to lodge/ maintain SHRep notifications.




 

How do I obtain roles to lodge a new SHRep notification or update an existing one?

To lodge or update a SHRep notification you will need relevant security roles under Notifications sub system (Type: Position).  Contact your SRS company administrator for that sub system.

Can a SHReps be elected to multiple site operations (SG) and notified via SRS in one submission?

Where a SHREP is elected to multiple SGs, they can be notified in one submission.  However, the site operations (SGs) must be part of the same combined operation (See Combined operations); the notifier ( who is the SRS company rep or company administrator) must have the relevant security roles for all these site operations. 
To do this:
Click to open the notification
Under the Reporting Details step, click Add to add each site operation to which the SHRep is to be elected.
Complete the notification and click Submit



Can multiple SHReps be elected to one site operation (SG) in one notification?

Yes.  Multiple SHReps elected at one site operation can be submitted as one notification.
To do this:
Click to open the notification
Under the Position Details step add the relevant SHReps.   
Complete the notification and click Submit.



How do I notify the Department where multiple SHReps are elected, each at different site operations (SGs)?

Where there are multiple SHReps are elected at different site operation, submit a separate notification for  all SHReps elected at the one site operation.
Notes:
1. The notifier (SRS company Rep or company Administrator) will require relevant security roles for each of the site operations.
2. Only site operations (SGs) under the same combined operation will be available in the dropdown. See Combined operations.



What notification will an elected SHRep receive?

They will receive a notification package via post / email. They will be automatically registered with a READ ONLY role to the Compliance sub system for their site operation (SG).  They will receive and alert in SRS (and will be provided an account to access SRS, if they do not have an online account).



What security roles are elected SHReps provided?

Once notified, elected SHReps will be automatically given the Compliance subsystem 'READ ONLY' security role for the appropriate mine site operation(s) or exploration company, upon the notification being processed by the Department.  







With the READ ONLY security role what can a SHRep view?

With the READ ONLY security role, elected SHReps can only view Compliance notifications - i.e. audits, inspections, notices, site visit records and only for the site operation(s) / exploration company to which they are elected.
Note:  the elected SHRep will need to ensure they hav completed the registration process and have access to SRS.



Why can't I view notifications on my summary page?

Check your Filters have ALL ticked (see snapshot above).



Can SHReps action a compliance notification (audit / notice / SVR)?

With the (given) READ ONLY security role SHReps cannot 'perform' any actions - i.e. update the details of a notification, .   Only SRS users with company administrator / company representative  security roles for the Notification / Appointments subsystem (of the Type Position), can action tasks.



The SRS administrator for the mine site operation/ exploration company has provided the SHRep a company administrator (or) a company representative role for Compliance (Audits / Notices)?  Can they action any task?

With the company administrator or company representative role, the SHRep can perform any action under the relevant area.



A SHRep has been discharged from their duties as a SHRep.  Who revokes their Compliance READ ONLY security role?

The company administrator for Compliance (Audits / Notices) subsystem will need to revoke their security role from the respective exploration company /site operation(s).

An existing SHRep's election details need to be updated in SRS and a notification is to be submitted to the Department.  Who does this?

The SRS company administrator / company representative for Notifications / Appointments will need to update the information and submit a notification to the Department.

Can a notifier update (maintain) multiple SHReps in one notification?

Yes.  Multiple SHReps elected at one or more mine site operations(s) can be updated by submitting one notification.  In the notification wizard, they will be listed in the Position Details.  See how to Maintain existing SHReps.

Notes:

A SHRep is elected with the same start/end election details at multiple mine site operations.   The notifier has updated the SHRep details and submitted one notification.  Will the SHReps details be updated across locations?

Where a SHRep (or SHREPs) has the same start / end date and is elected at multiple site operations (these site operations are under the one Combined operation their details will be updated automatically across those site operations;

Where a SHRep has a different start / end date at different site operations, the notifier will need to submit a separate notification for each of these site operations.

Can I delete a notification I have just started?

You can only delete a notification if it is in the status of 'Incomplete'. Click the Delete icon on the top left hand side of the wizard.
Click OK to accept.  The notification will be deleted.
